Our client is a leading Common Law set of chambers with over 100 barristers who focus on specialist practice areas within Civil and Family Law. They currently seek a Junior Practice Assistant to work with the Senior Practice Manager to provide an efficient and effective administrative and clerking support service to the senior clerking team and members of Chambers in the Civil Group.

Purpose of the job: To provide an efficient and effective administrative and clerking support service to the senior clerking team and members of Chambers in the Civil Group

ROLE

Civil Group Duties

  • Extensive phone work with instructing solicitors and courts with general queries on cases
  • Obtaining daily court listings, and ensuring members are aware of their diary commitments
  • Dealing with incoming instructions/briefs and other correspondence, entering detailed description on to the LEX software system, dealing with queries or allocating requests
  • Agreeing fees and billing in a timely manner, subject to policies and advice from the Practice Managers
  • Raising fee notes and chasing barristers for necessary details, subject to policies and advice from the Practice Managers
  • Arranging conferences and other professional meetings
  • Supporting Chambers’ seminars and events, which may at times be outside normal office hours.

General Duties, to be shared equally with a colleague in the Family Group:

  • Ensure that the incoming mail and DX is opened, managed, and distributed within Chambers policy guidelines
  • Ensuring that the communal areas of Chambers and the clerks’ room are kept clear of boxes and papers and ensuring that completed papers are returned to solicitors or confidentially destroyed on a regular and timely basis
  • Ensure deliveries to other chambers, solicitors’ offices and courts are made in a timely fashion
  • Ensuring maintenance of the daily conference schedule and that all necessary refreshments are checked and in place well in advance
  • Ensure that stationery stock levels are maintained. Carry out regular stock checks; ordering stationery when required
  • On a daily basis, ensure that all central printers are free from faults and working normally, are adequately stocked with paper and that spare toner cartridges are always available
  • Assist with photocopying and binding of trial bundles, manuals, marketing materials etc. and generally oversee local trouble-shooting of problems
  • Assisting in the practical arrangements for internal and external events organised by Chambers

REQUIREMENTS

  • 0-2 years’ work experience
  • Accurate and extremely reliable under pressure
  • Good communication and interpersonal skills for dealing with solicitors, local authorities, barristers, and colleagues
  • A robust personality, resilient with a high degree of patience
  • Proactive can-do attitude, willingness to support new initiatives and attend marketing events, and good organisational skills
